None of this replaced the follow-up team's judgement. It removed the manual tracking and case-matching that was consuming their time, and left the follow-up work itself — the part that genuinely needs a person — to them.

The Results

The follow-up team freed up at least 50% of their time. For a team of five, that's the equivalent of two and a half staff-days handed back every single day: five people, each getting back half their time, works out to 5 × 50% = 2.5 staff-days' worth of capacity.

That time didn't just disappear into slack. The team redirected it into sales and warm calls to previous customers. And the original problem, cases falling through the cracks, stopped happening. Every case now has a clear owner, a clear status, and a system generating the next list of what needs attention.
